Holland America dietary requests: start the conversation before sailing

The line recommends sending its special-requirements form well ahead where possible. Keep the request, confirmation and onboard meal plan connected.

ShipsBy Cruise Frog Editorial

Holland America encourages guests to contact its Guest Accessibility Department and submit the Special Requirements Information form before departure. Where possible, it recommends doing so at least 45 days ahead to give the team time to prepare requested accommodations. Its guidance includes food-allergy planning with the culinary team.

That recommendation is a planning lead time, not proof that a specific menu or arrangement has been confirmed. Send the relevant request through the official process and ask how it will be handled on your sailing. Keep the reply with the reservation so the conversation can continue onboard.

Describe the need clearly

Explain the dietary requirement and the practical arrangement you are asking for. Use the official department and form rather than relying on a note in a restaurant booking or a social-media message. Ask which information the line needs to assess the request.

Use the Holland America directory and Koningsdam page for ship context. The Nieuw Statendam page helps compare another vessel. A general ship description is not a confirmation of an individual dietary arrangement.

Save the response, not just the submission

Keep the request date and any acknowledgment. Ask what has been confirmed and what still needs discussion after boarding. If the sailing or reservation changes, check whether the information must be sent or linked again.

Do not promise a traveling companion that a preference recorded in an app guarantees a particular dish. A sample menu shows an idea of the dining experience, but the crew need the actual guest's requirements. Follow the line's instructions for the conversation aboard.

Our dining-package planning guide helps compare meal choices with the trip calendar. The room-service guide illustrates why a menu and service arrangement need their own checks. Its Royal Caribbean details should not be substituted for Holland America's response.

Make the first meal part of the plan

Allow time after boarding to speak with the appropriate staff and understand the process. Ask how to identify suitable choices and how the team wants future meals arranged. A first-afternoon conversation can be more useful than assuming each venue has already seen the request.

If several people are dining together, agree on a routine that lets the guest communicate the requirement without making every meal a new group negotiation. Confirm what the line can arrange rather than improvising from a buffet label or another passenger's experience.

The family cruise guide helps with the group schedule. The accessible-route guide supports another set of specific pre-cruise questions if more than one accommodation need is involved.

Include meals before and after the ship

The flight, airport stop and hotel stay have different providers. Make the relevant requests with each one separately. Confirmation by the cruise line does not establish what an airline, lounge or hotel has arranged.

Use Lounge Frog’s airport directory for airport context and Points Frog’s program directory when comparing a hotel reward. The port directory can help plan a shore visit, while dietary arrangements for a tour require their own provider conversation.

Keep the arrangement current

Review the information again before departure and bring the relevant confirmations in a form you can access without a connection. Use the line's official guidance and the onboard team's directions for the actual meals. The useful outcome is a clear, ongoing conversation with the people providing the food, rather than a request filed and forgotten weeks before the cruise.
